POSITION SUMMARY: Administrative Support for the Executive office; including serving as the receptionist for the department and the second floor of Headquarters. Assists the Executive Asst. with basic administrative duties and projects as assigned by the CEO.

Essential Functions Statements:

  1. Answers calls and transfers the calls to the appropriate personnel. Gives information to public, personally, or over the phone.
  2. Greets and assists visitors. Directs visitors to the appropriate department or personnel
  3. Sorts mail, prepares USPS mail, and UPS packages for department. Opens and distributes incoming correspondence for the CEO and key leader staff.
  4. Helps the Executive Assistant to the CEO with administrative duties as assigned.
  5. Keeps Executive Office and reception area clean and organized
  6. Checks and orders supplies for the executive office
  7. Responds to emails and correspondence in a timely manner.
  8. Creates, coordinates, and mails Birthday, Holiday and anniversary cards and certificates from the CEO
  9. Receives and scans incoming checks, obtains authorized signatures, audits for accuracy, collates and sends outgoing checks.
  10. Co-manages the Customer Comment and Compliment line; monitors email daily, responds to phone calls, maintains the comment line database system, ensuring it is current, and following up on action items as needed
  11. Communicates effectively with a variety of parties in person, by telephone or by letter for the purpose of providing information on activities and department functions.
  12. Utilizes Microsoft Office Suite for the creation of forms, databases, and reports.
  13. Prepares for Board Meetings by assisting the editing and coordination of Board reports: OPSTAT, Treasurer’s Report, Services to People Report, Operations Report, Human Services Report, and any additional items needed for Board meetings.
  14. Assists with the coordination and execution of organizational and supervisory meetings. Assists with planning other events as needed.
  15. Assist with updating departmental procedures.
  16. Assists with the complete maintenance and accessibility of the filing systems, including ownership and leased property documents and archive rooms.
  17. Manages the GISD Lending Library including inventory sheets and check in/check out procedures, and downloading audio files.
  18. Assumes Executive office responsibilities when the Executive Assistant to the CEO is not available.
  19. Assists other departments at the request of the Executive Assistant to the CEO and/or the CEO.
  20. Completes other duties as assigned or as needed.




Education: High School diploma or GED. AA or Bachelor’s degree preferred.

Experience: Minimum one year related experience.

Computer Skills: MS Office Suite, Web, E-Mail.

Certificates & Licenses: Valid California Driver’s License with driving record acceptable to Goodwill’s insurance.

Other Requirements: Must be able to pass criminal background requirements.


Work Schedule: Monday - Friday
